Complete Guide for Denven Implant Management App

💡 NOTE: To access the Implant section in Denven Implant management app, users need a subscription. If you haven't subscribed yet, you can contact the Denven admin to get access to the Implant section and all its features.

1. What are implants?

Implants are medical devices that are surgically placed into the jawbone to support prosthetic components, such as crowns, bridges, or dentures. They serve as a foundation for replacement teeth, helping restore functionality and aesthetics in dental patients.

2. What are prosthetics?

Prosthetics in dentistry refer to artificial devices designed to replace missing teeth or parts of the jaw. These include crowns, bridges, dentures, and other devices used to restore oral function and appearance for patients who have lost teeth.

3. What is the Implant Stock?

The implant stock is where you manage all implants currently in your inventory. It is designed to provide comprehensive implant stock visibility and facilitate implant stock management:

  • Implant Search: Use the search bar at the top to find specific implants quickly. This feature is useful for large inventories where manual browsing would be time-consuming.

  • Implant Scanner: If you have added the barcode on the implant to Denven, you can scan the barcode or QR code on the implant to access implant details.

  • Filter Options: Apply filters to refine the implant list based on various criteria:

    • Expiry Dates: Check which products are expired or set to expire in the next three or six months.

    • Barcodes: Identify products that have or do not have a barcode registered.

    • Suppliers: View products supplied by specific suppliers.

    • Storage Locations: Filter by where products are stored to better manage distribution.

4. How to manage the implant stock?

To manage implant stock effectively in the Denven implant management app, you have two convenient options for accessing product-specific functions. You can either locate implants directly in the implant stock or use the barcode scanning feature for quick access.

  • Managing Implants via Implant Stock Page: On the implant stock page, locate the implant you wish to manage and select the three dots beside it. This action opens the implant stock management functions, allowing you to update details specific to that implant, such as adjusting stock levels, updating information, or making other product-specific changes.

  • Managing Implants by Scanning the Barcode: Alternatively, you can manage implants by selecting the scanning icon at the top right of the stock page. Use this to scan the implant’s barcode. If the implant’s barcode has already been added to Denven, the app will automatically display the implant details and allow you to update the implant stock details.

5. How to update implant quantity?

To update implant quantity:

  • If you have previously added the implant barcode to Denven, scan the implant or, navigate to the implant stock page and click the three-dot icon next to the implant you want to update.

  • Select “Update Quantity” to change the number of implants. However, it is strongly recommended to place the implant or prosthetic when reducing the quantity, as this ensures accurate placement and consumption tracking.

  • Enter the new quantity and submit the changes. The system will update the implant details accordingly.

6. How to edit implant details?

To edit implant details, navigate to the implant stock page, locate the product you wish to edit, select the three dots next to it, and choose Edit Details. Or, If the implant’s barcode has been previously added to Denven, you can simply scan the barcode using the scanner icon on the implant stock page.

Once you’re in the Edit Details section, you can:

  • Add Implant Images: Uploading images of the product helps with quick visual identification, which is especially useful when managing a large inventory. You can upload an image or capture an image.

  • Set Minimum Implant Stock Level: Define a minimum level to set a threshold for when the product’s quantity on hand reaches a low level. Once this threshold is met, the product will be flagged as low stock, triggering an alert to reorder. You can also find these products in the Inventory Low-Level Report, ensuring you’re aware of items that need restocking.

  • Update Expiry Date: Enter or update the expiry date for the product. This is essential for tracking perishable items, helping to ensure products are used or sold before they expire, thereby reducing waste. You can find the expired products in the Expiry Report.

  • Create and Add Tags: Tags enable better organization and categorization. To add tags, choose Add Tags and select from Denven’s suggested options, or create a custom tag by typing it into the search bar and selecting Add New. Tags allow for easy filtering and grouping, making inventory management more efficient.

7. How to separate implants and prosthetics?

To differentiate between implants and prosthetics in Denven, you can assign tags. When adding or editing a product, use the tag feature to categorize them accordingly.


Homepage

1. What is the Stock Management App’s Home Page?

The homepage of the Denven Implant Management App serves as a comprehensive dashboard for your clinic’s implant management. At the top right corner, you can see the name of the clinic currently being managed, ensuring you are operating within the correct practice. The homepage is equipped with a summary board that provides essential metrics and tools to navigate your implant stock.

2. What is the Summary box?

The summary board provides an overview of your stock details, giving you quick insights into key metrics:

  • Total Products: This displays the total count of individual implant types available in your stock.

  • Total Quantity: This section shows the cumulative number of all implant units in stock, giving insight into the overall volume of inventory.

  • Total Price: The total monetary value of all implants combined is displayed here, allowing you to keep track of inventory costs.

  • Implant Reports: You can access all implant reports and download implant passports for the active clinic here.


Implant Barcode Scanning

1. How to add barcodes?

To add a barcode to a product:

  • Go to the implant stock page and Navigate to the implant. You can use the search bar to locate the product. Click the three-dot icon next to it.

  • Select “Add Barcode”. This will open the barcode scanner within the app.

  • Align the scanner with the implant’s barcode and Scan the Barcode.

2. How many barcodes can I add?

You can add multiple barcodes to each implant, typically an EAN and a QR code. Both barcode types can be used, but it is essential to assign each barcode to the correct implant. Proper assignment ensures accurate retrieval of implant information when scanning, so please double-check that each barcode corresponds to the intended implant.

3. How to access implant details by scanning the product?

To access implant details by scanning a barcode, go to the top right corner of the implant stock page, where you’ll see a barcode scan icon. Selecting this icon will open the scanner. If the implant’s barcode has already been added to the system, scanning it will bring up the implant details and the available implant management options.


Implant Management App Menu Page

1. What is the Menu page on Denven Implant Management App?

The Menu Page in the Implant Management app provides access to essential features and settings for managing user information, clinic details, and other app functions. Here is a brief description of each available function:

  • User Profile: Allows to view and edit their user information.

  • Clinic Management: If multiple clinics are registered under the same account, users can switch between them to access and manage each clinic’s implant stock individually.

  • Dentist Management: Enables users to add or manage dentists associated with the practice, keeping team information up to date within the app.

  • Change Password: Allows users to update their password securely, ensuring account access remains safe and controlled.

  • My Subscriptions: View your current subscription details.

  • Policy Pages: Provides access to Denven’s policies, including terms of use, privacy policy, and other relevant documentation for easy reference.

2. How to change clinics?

To change clinics, go to the Menu Page, select Switch Clinic, and then choose the clinic you want to access.

3. How to add dentists?

Dentists are the primary users who consume implants within your practice, making it essential to add them if you want to track implant consumption accurately in Denven. To add a dentist, go to the Menu Page and select Dentists. Then, choose Add Dentist and enter the required information. Once you select Create, Denven will generate a new entry for the dentist, enabling implant consumption tracking for that user. Alternatively, you can add dentists from the desktop.

4. How to edit user details?

To edit user details, you can go to the desktop version and access the settings section, where you’ll find options to modify user information. Alternatively, you can also edit details through the mobile app by navigating to the menu, selecting User Profile, and making the necessary changes there.

5. How to download reports?

You can access the implant reports using the Denven Implant Management App but downloading reports is only possible through the Denven desktop version. Open the desktop application, navigate to the reports section, and from there, you can download the desired reports directly to your system.

6. Is the app in sync with the desktop?

The mobile app is fully synchronized with the desktop version. Any changes made in the app are reflected instantly on the desktop, ensuring seamless updates. If you experience issues with synchronization, please check your internet connection, or try restarting the app. If the issue persists, contact the admin team for support.


Add Implants to Stock in Implant Management App

1. How to add implants to stock?

  • You can either upload an implant order invoice through the Denven desktop app or manually add implants. To manually add implants, navigate to the Implant Stock section and click on the Plus icon. You can scan the implant if it has a barcode or select Manual Entry if scanning isn’t possible.

  • Next, choose the implant supplier from the dropdown menu. If the supplier is not listed, click on Add Supplier to enter a new one. You can either search for the implant by name or supplier code or enter the details manually by selecting Add Manual.

  • Make sure to enter the product price, expiry date, and quantity. You can also assign a minimum stock level and storage location. If you don’t have the product code, Denven will assign one for you. Optionally, add barcodes and implant images for easy identification, then click Submit to finalize.

2. How to add implants to stock by scanning?

  • You can either upload an implant order invoice through the Denven desktop app or manually add implants.

  • To manually add implants, navigate to the Implant Stock section and click on the Plus icon. To add implants to stock by scanning, click the green Plus icon at the bottom of the Implant Stock page and select Scanning.

  • Scan the barcode on the implant packaging and enter the necessary product details before clicking Submit to save it to your inventory.

3. What if I can't find the implant supplier in the list?

If the implant supplier is not listed in the dropdown menu, you can manually add them. Click on Add Supplier, fill in the required details, and save. This will allow you to select the new supplier for future implant entries. Please refer to the ‘Add Product’ tutorial in the training section to learn more.

4. What if I don't know the product code while adding the implant manually?

If you don’t have the product code while adding an implant manually, select the option that indicates you don’t have a code. Denven will automatically generate a unique code for the product. Please refer to the ‘Add Product’ tutorial in the training section to learn more.

Add Prosthetic and Placement in Denven Implant Management App

1. How to record implant placement?

To record an implant placement, start by ensuring the dentist’s details are added to Denven. You can add the dentist details using the Denven Desktop or from the Menu page of the Implant Management App.

  • Navigate to the implant you are using. Select the implant on the implant stock page. Select ‘Add Placement’. Only one implant can be recorded per placement. You will need to enter the implant’s lot number, reference number, patient’s name, date of birth, and placement date.

  • Additionally, select the tooth where the implant was placed and the operating dentist.

  • You can also include notes or attach any relevant files if necessary. Once completed, click Submit.

  • To access implant placement reports, navigate to the Implant Placement Report in the reports section. If you wish to download the implant passport, click on the three dots next to the entry and select Export PDF.

2. How to track prosthetic consumption?

For tracking prosthetic placement, start by ensuring the dentist’s details are added to Denven. You can add the dentist details using the Denven Desktop or from the Menu page of the Implant Management App.

  • Navigate to the prosthetic you are using. Select the prosthetic on the implant stock page. Select ‘Add Placement’.

  • Fill in the quantity used, the patient’s name, and the dentist’s name. Once completed, click Submit.

  • To view the prosthetic consumption details, go to the Reports section on the homepage and access the Prosthetic Consumption Report.
